What if it doesn't work?

Simple: if the system doesn't save your team at least 15 hours a week in the first 30 days, you don't pay the setup fee.

How long does it take?

Automation systems go live in about 2 weeks: first we map your work, then we build, then we test with real data and launch. Bigger projects ship in phases.

Do you work outside Costa Rica?

Yes. We're based in San José, Costa Rica, and we work with clients all over the world — in English and Spanish, across time zones.

At Vectis Automation Group we respect your privacy. This policy explains what information we collect through our website, our forms and our AI ChatBot product, and how we use and protect it.

1. Data controller

2. Information we collect

We collect the information you voluntarily provide through our contact, appointment and newsletter forms. This may include: name, email, company, subject, estimated budget and the message you send us. We do not collect sensitive data.

3. Use of your email and form information

We may use your email and the information you submit through our forms to: respond to your request, contact you, schedule meetings or appointments, prepare proposals, and send you communications and information related to our services. By submitting a form, you agree that we may use that data for these purposes.

4. Communications and newsletter

If you subscribe to our newsletter, we will use your email to send you news, content and updates. You can unsubscribe at any time using the opt-out link or by writing to contact@wearevectis.com.

5. Data retention

We keep your information only for as long as necessary to fulfill the purposes described, or while we maintain a relationship with you, unless the law requires a different period.

6. Sharing with third parties

We do not sell or rent your information. We only share it with trusted providers that help us operate the site and communicate with you (for example, email or hosting services), always under confidentiality obligations.

7. Cookies and similar technologies

The site may use cookies or similar technologies to work properly and, if enabled, to measure usage anonymously. You can control cookies from your browser settings. If we add analytics or marketing tools, we will display a consent notice.

8. Your rights

You can request access, correction or deletion of your personal data, as well as object to its processing, by writing to contact@wearevectis.com. We will handle your request in accordance with applicable law.

9. Changes to this policy

We may update this policy from time to time. We will post the current version on this page with its update date.

10. AI ChatBot product: data we process

When you subscribe to our AI ChatBot product and install it on your site, we process: (a) the configuration you define (business name, description, hours, catalog, FAQs and rules); (b) the conversations between the assistant and your site's visitors (messages sent and responses generated); (c) the contact details visitors choose to share, such as name, email or phone for lead capture; and (d) basic technical data needed to run the service, such as session identifiers and aggregated usage metrics.

11. Roles: when we act as a data processor

With respect to your site visitors' data, you (our customer) are the data controller and we act as the processor. We process that data solely to provide you the service and following your reasonable instructions. You are responsible for informing your visitors about the use of the chatbot and for having the legal basis or consent needed to collect their data.

12. Providers and sub-processors

To operate the AI ChatBot we rely on cloud infrastructure and artificial-intelligence model providers that process data on our behalf under confidentiality and data-protection agreements. These providers process messages solely to generate responses and maintain the service. We do not sell your data and we do not use the content of your conversations for advertising.

13. Security and retention of chatbot data

We apply reasonable technical and organizational measures to protect information, such as encryption in transit, access control and per-customer data isolation. We retain conversations and leads while your account is active or as long as you need them, and we delete or anonymize them when they are no longer needed or when you close your account, unless a legal obligation requires us to keep them.

14. Your choices and your visitors' choices

You can request the export or deletion of the data associated with your chatbot by contacting us. Your site visitors may exercise their rights with you as the data controller; we will help you handle those requests as far as it concerns us as a processor.
